Organizing Dance Socials

During my time at Stanford, I ran several dance socials, classes, was on the Viennese Ball Steering Committee, and co-chair of the 25th Big Dance*. Here, I share some of the most important lessons I learned geared towards first-time folks who want to plan smaller events.

I want to note that the first time I ever organized a social, it was summer 2019 and I organized it because I missed dancing and no one else was planning anything. I tell you this to remind you that you don't need to be an event planner extraordinaire - most dancers are happy with just some space and music!

10 Tips for Dance Organizers

  1. Find a partner or a team to help you run the dance. This is especially important for you to be able to enjoy the dance and not spend the whole time worrying. Make sure people know who is running the dance for safety purposes!

  2. Explicitly decide what your goals are: Do you want a space for experienced dancers? Do you want new folks to feel especially comfortable? Are you trying to join two separate dance communities? (This influences music choice.)

  3. If you don't want to run the music, find 1 or 2 experienced DJs. Music selection will make or break whether people come to your next event. Determine if you will be able to pay DJs. (Some playlists are attached below.)

  4. Find speakers that are both loud and clear. Make sure to have your playlists downloaded offline.

  5. Find a large space with clean floors and easy access to water and bathrooms. I personally look for smooth wood flooring that isn't too slick. Make sure to put out chairs for folks to relax in and leave their coats/shoes/etc. in.

  6. Get color-coded name tags so people can indicate role preference (lead/switch/follow). Social dance styles have come from a history of gendered roles. As organizers, we own some of the responsibility to shift attitudes.

  7. Have some way to collect feedback from attendees after/during the dance. It's extremely important for your next one.

  8. Spread the word! Timing is everything. You don't want to be too early or too late. Facebook events are very common.

  9. Explicitly list out the rules and norms of your dance floor. (This one is so important it has its own dedicated page.) 

  10. Have fun! Don't forget you're hosting because you love to dance and you love your community.
